Booking Procedure

IMPORTANT - Please carefully read and follow the booking procedures as shown below.

STEP 1

Existing Exhibitor

If you are an existing exhibitor from 2011 and you wish to re-book last year’s stand, Please contact the office to receive your unique exhibitor log in details any time after Tuesday 10th January 2012. Please note these plots will only be held for 14 days after this time they will be offered to other exhibitors. If you wish to book a different stand you will be able to do so from Tuesday 24th January 2012. Please contact the Events Office by telephone from this date to check the availability of the stand you have chosen. Please note all stands not booked prior to the 21st February will go on general release to the waiting list.

New Exhibitors

General space goes on sale to all new exhibitors on the 21st February 2012. Decide on the space required and position from the site plans then contact the event team to check availability. Please note the plans are only approximate.

STEP 2

Reserve your exhibition space by contacting the Events Office on 01380 734199 to ensure availability.

(This office is manned on a part time basis – if you are unable to speak to someone please leave a message on the voice mail with full contact details. We will get back to you as quickly as possible, messages left are timed and will be dealt with in order.)

STEP 3

Once your plot has been reserved by the office you will be able to complete your registration and subsequent documentation online using your unique website login and password.

STEP 4

Complete the online booking form.

PLEASE TAKE A FEW MINUTES TO CHECK THAT EACH SECTION OF
THE FORM HAS BEEN COMPLETED CORRECTLY.

Incorrectly completed forms may result in the wrong plot being booked or the wrong details being published in the conference brochure. You will have until the deadline stated to complete the online booking form if a deadline has not been given please complete within 14 days. We will then confirm the booking and send you an invoice for a non-refundable 50% deposit, the balance will be invoiced approximately 12 weeks prior to the event. If you have not completed your online booking form within 14 days or contacted the Event Office for an extension of that period, the space will be offered to one of the many people on the waiting list.

IMPORTANT – If relevant, include your Purchase Order Number in the online booking form or send a copy of the Purchase Order to the Event Office in order that we can include this number on our invoice to you.
(Failure to do this causes a large amount of unnecessary paperwork and delays both for your company and the Event Office.)

STEP 5

Exhibitors wishing to take advantage of the excellent advertising rates for space in the conference brochure, please indicate on the booking form.

  1. The brochure will be printed using 4 colour process.
  2. All artwork MUST be supplied as following:
    • a. High-resolution CMYK PDF with bleed and crop marks.
    • b. Supplied on disc to the Event Office, or emailed direct to artwork@napfmevent.org.uk
    • c. A hard copy of the advert should be supplied to the Event Office so that we are aware of the content.
  3. Artwork not received in the correct format or after the deadline will result in the cancellation of the advert in the brochure.

Please ensure you submit all remaining data by the required dates.

  • 9th July 2012 - Brochure Advert
  • 7th September 2012 - Display Vehicle List
  • 7th September 2012 - Stand Personnel & Contractors Detail.
